Clear policies for peace of mind
We believe transparency builds trust. Our policies are designed to be straightforward and fair — so you always know exactly what to expect.
Appointments
We recommend scheduling your next appointment before leaving the office to secure your preferred date and time.
Please arrive 5–10 minutes early for your first visit to complete any required new patient forms.
If you are running late, please call us as soon as possible. We will always do our best to accommodate you, though appointment times may need to be modified.
Same-day emergency appointments are available. Please call us first thing in the morning for the best chance of same-day care.
Cancellation Policy
We require a minimum of 48 hours notice to cancel or reschedule an appointment without penalty.
Cancellations made with less than 48 hours notice may be subject to a missed appointment fee.
Patients who repeatedly miss appointments without notice may be asked to prepay for future bookings.
We understand emergencies happen — please call us as soon as possible and we will work with you.
Payment & Fees
Payment is due at the time of service. We accept Visa, Mastercard, Debit, cash, and cheque.
We offer flexible 0% interest payment plans for qualifying treatment. Ask our team for details.
We provide detailed treatment estimates before any procedure so there are never any billing surprises.
Fee guides follow the Ontario Dental Association (ODA) suggested fee guide.
Insurance & Benefits
We offer direct billing to most major insurance providers — you only pay your portion at the time of service.
We are proud participants in the Canadian Dental Care Plan (CDCP) for eligible patients.
Please bring your insurance card and any relevant benefit information to every appointment.
We will provide a pre-authorization for major treatments to confirm your coverage before work begins.
Any amounts not covered by your insurance are your responsibility at the time of service.
Privacy & Confidentiality
Your personal health information is collected and protected in strict accordance with PIPEDA and applicable provincial privacy legislation.
Your information will never be shared with third parties without your explicit written consent, except as required by law.
You have the right to access your own health records at any time. Please submit requests in writing.
We use secure, encrypted systems for all electronic health records and communication.
Children & Minors
A parent or legal guardian must be present for all appointments involving patients under 16 years of age.
Consent for treatment of minors must be provided by a parent or legal guardian.
We strongly encourage parents to accompany their children into the treatment room, especially for first visits.
We follow the Canadian Dental Association guidelines for paediatric dental care.
Medical History & Updates
Please inform us of any changes to your medical history, medications, or allergies at every visit — even routine cleanings.
Certain medications and medical conditions can affect dental treatment. Full disclosure allows us to provide the safest possible care.
If you are pregnant or may be pregnant, please notify our team before your appointment.
If you have had any recent surgeries, hospitalizations, or significant health changes, please let us know before your appointment.
Radiographs (X-Rays)
Dental radiographs are an essential diagnostic tool. We follow the ODA guidelines for frequency based on your individual risk factors.
We use digital X-ray technology which reduces radiation exposure by up to 80% compared to traditional film X-rays.
You have the right to decline X-rays; however, this may limit our ability to accurately diagnose certain conditions.
Bitewing X-rays are typically recommended once per year for most adult patients, and full-mouth surveys every 3–5 years.
